The following questions were taken from our recent VOI Webinar which had over 500 attendee's.


Q: What is a Subscriber?

A legal entity registered to use an ELN to complete conveyancing transactions electronically, as or on behalf of, a Transacting Party. 


Q: What do I do for clients overseas?

Where a  client is overseas, the Subscriber needs to decide what steps to take to verify the person’s identity having regard to the available services and options under the circumstances. One available option is to utilise the services of an Australian Embassy, High Commission or Consulate coupled with any necessary further steps in order for the Subscriber or mortgagee to be reasonably confident in the person’s identity.  If they have an Apple device registered with the Australian App Store you have the option for the use of IDfy remote verification.


Q: Can a JP be a person to do the verification?

Anyone can use the Verification of Identity Standard. However, for it to be deemed reasonable steps the Standard must be properly carried out by one of the following categories of people: Subscriber; Mortgagee; or Identity Agent


Q: With the OSR rule are we going to need originals also?

The VOI is an LPI requirement.  You still require the required documents for OSR.


Q: Do you need to get the VOI for both vendors and purchasers?

Yes, both the vendor(s) and purchaser(s) are required to be verified.


Q: Does the client need to have an iPhone/Android and download the app as well?

No, it is only required on your phone (Android or iPhone) or iPad for an in person verification.  The client will only need an iPhone or iPad and the app downloaded in the instance of a remote verification (this is currently not available on Android) where you can use the video conferencing feature.


Q: What is the cost as a disbursement for each VIO via the app?

An in person verification is $9.90 and a remote verification is $10.90.


Q: What happens in the event of the contract being signed at the Real estate agent office and the contract is then returned to our office?

You are still required to verify the identity of the signer.


Q: Does the VOI standard apply to existing clients?

Yes, IDfy has followed the rules and guidelines set by ARNECC in relation to identifying customers for conveyancing.
Yes, IDfy is available nationally.
Yes, you must be a client of InfoTrack to use IDfy.
You can sign in to IDfy using your InfoTrack account username and password.
Currently, IDfy works on iPhone 4s and above and iPad with minimum iOS Version 8.4 and above and on Android.
Visit the App Store or Google Play and search for IDfy.
IDfy can be downloaded for free. The cost per verification is usually $9.90 (inclusive of GST).
Photos taken on IDfy are saved in the app storage until verified. All the pictures get deleted once verified apart from the client picture.
Photos that are taken in IDfy are not stored on the iPhone or Android Phone and cannot be accessed in your iPhone gallery. After you take a photo in IDfy, you have the option to re-take or use that photo. You can also delete a document from a client’s profile at any time before verification.
All information on IDfy is encrypted so your client’s information will be safe. Simply download IDfy on your new phone to access your IDfy account again.
IDfy has a large signing panel to sign your name as part of the verification process. Stylus pens are the preferred way to sign on an iOS device, but you can also use your finger.
No, we have set up IDfy on systems separate to InfoTrack to ensure security of client information.
InfoTrack complies with the ISO27001 Certification for storing data. Documents entered into IDfy are transmitted and stored securely in a write-only, ISO27001 certified private cloud provided database. This database is only accessible for read access via a private VPC, to a few highly privileged InfoTrack administrators. All Data At Rest is secured using the industry certified AES256 encryption, and all Data In Transit is secured end-to-end, using the industry certified TLSv1, TLSv1.1, and TLSv1.2 standards, and offers the highest level of protection possible. All documents ordered as part of the report are encrypted on the server using AES256. All transport between the app and servers is secured using SSL.
With IDfy on your iPhone/Android Device you can verify your client’s identity in any location. You can have your client come to your office or you can go to them. If you are unable to arrange to meet in-person with your client, you can use the remote option to conduct verification over a video call.
Each photo provides a preview so that you can check the quality of the phot each time. If it is not up to scratch a re-take option is available until you get it right.
Yes, all incomplete orders are saved within IDfy for access at a later time.
When you successfully submit a VOI application, you’ll receive a security code in IDfy. You’ll then receive an email with a link to view the report. When you follow the link you will be asked to enter the security code to access the report.
Yes. The report is provided in a secured .pdf and can be saved locally.
No, once you verify your client’s identity all pictures are removed from the app. You will be able to see a list of verified reports which summarizes the order including the client’s name, who did the verification, the order id in InfotTrack and which documents were supplied. There is also a code you can use to access the PDF of the report for a limited time.
The reports are stored for a period of 7 years. Following the Model participation rules each report is valid for a period of 2 years.
The code expires after 72 hours.
Once your access code has expired, you can call InfoTrack HelpDesk to receive a new secure code.
If you use a practice management system that is integrated with the InfoTrack platform, it will be integrated with IDfy as well. You will save time on rekeying data and your search costs will be captured automatically.IDfy lets you personally verify the identity of your clients without relying on third parties. It give you complete control over the verification of identity process and allows for a more personable experience as you can maintain face to face contact with your client throughout the entire meeting.
