There are no costs to use the interface. Charges apply to the products and services that you use within it.
Your matter name and your client name/s, email, and phone numbers. The more information you have in your matter, the more details that will map into the interface. Additionally, in Smokeball you must enter the property details (at a minimum the suburb, state and postcode).
Our conveyancing interface provides complete flexibility, so you can use one or all the products available within the platform. To get the full benefits, including data mapping for less manual entry, we recommending using the interface from start to finish and use all products.
You can create a sale matter without ordering a title search by selecting ‘continue with verified details only’ on the ‘confirm property details’ page. If you proceed to order a Contract of Sale it will use the original title search, so you don’t have to order a new one.
In LEAP you can, although you may not have all the benefits of data mapping and may need to manually key in data.
In Smokeball, you will see the old InfoTrack matter dashboard if you have already ordered searches and certificates beyond a Title Search.
You can still use all the certificates and services used within the new interface to complete your transaction as they will still flow into your PMS matter.
The existing details in your PMS will be used to fill in the front page of the contract.
If you upload a sales advice within the interface, it will prompt you use that information in the front page of the contract. Note, currently this data does not sync back into the matter in your PMS, but we are working on this feature.
Not currently, but this is something we would like to implement in the future.
Client Verification
There are no costs to brand the client portal. Simply upload your firm’s logo from your Account Settings > Firm Detail within your InfoTrack account.
Contract Preparation
Access to this interface is not restricted based on file size of a contract.
PDF and Word documents can be uploaded into the Contract of Sale from the LEAP file.
The completion date is available to populate the contract from either the ‘Length of Contract’ or ‘Other date for completion’ fields in the LEAP matter. In Smokeball, we are working to have the completion date populate from the “settlement Due date” field of the conveyancing details, but currently defaults to 42 days.
Regardless of who prepares or completes the contract, it will still be able to be imported.
It will depend on the quality of the scanned document. The data extraction will be most accurate for a digital PDF copy, but may also be able to identify information from a high quality scanned document.
Contract Exchange
Yes, the interface uses DocuSign technology for signing.
No, you will need to share a new link after any changes made to the contract.
Yes, you can skip this step and still use all the other services within the interface.
Post-Exchange
Smart bundles are a quick select tool, where certificates are preselected based on your previous orders for that particular Local Government Area (LGA). For new clients, smart bundles become available when you start creating certificate orders.
Smart bundles are constantly being updated based on your previous orders, so you will always have a preselected list that reflects what you typically order. Selecting the smart bundle button will check the box for the certificates, but not automatically order them, so you can always review and make changes before proceeding with the order.
Settlement
SettleIT is an electronic settlement and lodgment service designed to manage the administrative aspects of property settlements. This allows legal professionals to focus on providing legal advice and client support while SettleIT handles the settlement process.
You can explore SettleIT’s services in the ‘Settlement’ step, where key tasks such as Verification of Identity are automatically initiated upon order placement – at no additional cost to you. Additional tasks at this stage include the Client Authorisation Form, Trust Account Authority and, when applicable, Purchaser Declaration and the Mortgage Discharge Authority Form. If you have already started these tasks in the ‘Client Engagement’ step of the interface, SettleIT will seamlessly sync your data to prevent duplication.
SettleIT seamlessly integrates with various features of the new InfoTrack interface, including client engagement tasks and property certificate ordering. The connection with other solutions and practice management systems helps streamline processes within the updated interface.
Clients typically place their order with SettleIT once the contract becomes unconditional. However, as the fee is only deducted upon settlement occurs, you have the flexibility to place your order any time before the unconditional date if preferred.
You can reach your assigned file handler through the messaging tool within the Settlement Steps in the new interface. Key updates on your settlement will also be communicated within the same space.
